The Administrative Business Partner (ABP) provides strategic, high-impact executive support to executives at Asana. This role operates as a trusted partner and is embedded within a collaborative ABP team that shares resources, best practices, and cross-functional coverage. The ABP is expected to build deep business acumen, operate with exceptional discretion, and drive operational excellence across a fast-moving, global organization.
This role is based in our Vancouver office with an office-centric hybrid schedule. The standard in-office days are Monday, Tuesday, and Thursday. Most Asanas have the option to work from home on Wednesdays. Working from home on Fridays depends on the type of work you do and the teams with which you partner. What You’ll Achieve
Executive & Calendar Management
- Own end-to-end calendar management with strong attention to accuracy, context-switching, and energy management
- Anticipate the executive's needs before they arise, staying ahead of shifting priorities and schedule dependencies rather than reacting to them
- Partner closely with EBPs and ABPs to rapidly drive calendar alignment across the leadership team
- Manage complex domestic and international travel arrangements, including customer-facing itineraries, office visit planning, meeting goals, AMAs, and team events
Meeting & Communications Support
- Drive efficient meeting logistics including agendas, pre-reads, and follow-up actions
- Prepare the executive for key meetings through briefing materials and relevant context
- Draft and route communications on behalf of executives, including internal announcements, team messages, and channel communications
- Serve as a communication proxy where appropriate, maintaining professionalism and discretion
- Act as a hub of knowledge for the team — fielding questions, routing requests to the right owners, and finding answers even when they aren't immediately obvious
Event Planning & Ownership
- Own end-to-end planning and execution of team events including all-hands, off-sites, end-of-quarter celebrations, and product launch celebrations
- Coordinate cross-functionally to manage logistics, timelines, and stakeholder alignment from start to finish
Project, Program & Process
- Lead and manage large, complex cross-functional projects with measurable business impact
- Track workstreams, surface blockers, and keep stakeholders aligned and informed
- Identify operational gaps and build the processes to close them — not just managing existing workflows but creating structure where it doesn't yet exist
